Terms of use

These terms govern use of the SA Hero Awards website and the nomination process managed by Astros Marketing (Pty) Ltd. By submitting a nomination or browsing the site, you agree to the conditions below.

Using this website and submitting nominations

This website is used to learn about the awards programme, submit nominations and read the rules that apply to entries. The programme is open to members of the public across South Africa, including Johannesburg, Cape Town, Durban, Gqeberha and Polokwane.

When you submit information through our contact form or any nomination pathway on the site, you confirm that the details you provide are true and complete to the best of your knowledge. You also confirm that you have the right to share the information included in the nomination.

  • Use the site only for lawful purposes.
  • Do not submit false, misleading or abusive content.
  • Do not interfere with the site, its forms or its records.
  • Do not upload material that belongs to someone else without permission.

What makes a nomination usable

A strong nomination tells a clear story about the nominee’s community contribution. It should explain what the person did, who benefited and why the action mattered in practical terms.

Good nominations usually include dates or time periods where known, the location of the work and enough detail for the review team to understand the context. If the nomination is about a volunteer, carer, teacher, first responder or neighbour who stepped in, describe the actual support given and the effect it had on others.

  • Say what happened in plain language.
  • Include useful evidence where available.
  • Keep the focus on the nominee’s actions.
  • Avoid exaggeration and unrelated material.

Consent, privacy and sensitive information

Nominees should know that their details are being submitted for an awards process and, where possible, should consent to that use. If you share information about another person, you are responsible for making sure you have permission to do so where consent is required.

Please avoid unnecessary personal or sensitive information. If such details are essential to explain the nomination, share only what is needed and keep the account focused on the community contribution. We treat nomination records as part of the programme’s internal process and handle them for review, administration and communication connected to the awards.

  • Share only relevant personal details.
  • Do not include medical or financial information unless essential.
  • Do not publish private information about third parties.
  • Use care when naming children or vulnerable people.

How nominations are reviewed

Entries are reviewed against the published criteria for the programme. The review process looks at the clarity of the story, the relevance of the contribution, the strength of the supporting information and whether the nomination meets the entry rules.

Judging decisions are based on the material submitted and on the criteria used for the awards process. If information is incomplete, unclear or does not fit the programme rules, the nomination may not move forward. The team may also set aside entries that contain offensive content, copied text or material that cannot be checked properly.

  • Clarity of the nomination story.
  • Relevance to community service.
  • Supporting detail and available evidence.
  • Compliance with consent and privacy rules.

Updating, correcting and withdrawing a nomination

If you need to correct a mistake, update a nomination or withdraw an entry, use our contact form with the relevant details. Give the nominee’s name, the nomination title if one was used and a short note explaining the change you want made.

We may ask for additional information before making a record change, especially where the update affects consent, privacy or the basic facts of the submission. If a nomination is withdrawn, related records may still be kept where the programme needs them for administration, legal compliance or audit purposes.
